Our services

Everything between the enquiry and the paid invoice.

Six things we build. Most firms start with one and grow into the rest.

Order-to-Cash Systems

The core build. Order intake, dispatch, scheduling, work orders, invoicing and accounting wired into one flow, so nobody rekeys the same job twice.

  • Intake from forms, email or your website
  • Auto-generated work orders and PDFs
  • Invoice raised the moment a job is delivered
  • Accounting sync, no re-keying

Client & Team Portals

A real web portal your staff, field techs and customers log into, instead of ten shared spreadsheets and a chase-up inbox.

Perfect for: Teams whose customers and contractors keep emailing to ask what the status is

  • Magic-link login, no passwords to reset
  • Role-based views for staff, techs and clients
  • Self-serve status, uploads and rescheduling
  • Full audit trail of who changed what

Scheduling & Dispatch

Assign the job, confirm the technician, push the calendar invite, and chase automatically when nobody replies.

Perfect for: Firms sending people to sites, where a missed confirmation costs a whole day

  • Technician assignment and availability requests
  • Calendar events created, moved and deleted in sync
  • Automatic chasers until a job is confirmed
  • Reschedule and cancellation handling built in

Invoicing & Payouts

Money out of the door on time. Invoices raised, reminders sent, contractor payouts calculated, books kept current.

  • Invoice generation on delivery or on a cycle
  • Payment reminders that stop when payment lands
  • Contractor and teacher payout statements
  • QuickBooks and accounting sync

Monitoring & Failure Alerts

The part most automation work skips. Every critical step is watched, and you hear about a break before your client does.

Click to learn more ⌄

Perfect for: Anyone who has found out a workflow died three weeks ago from an angry customer

  • Safety-net alerts on every money-critical step
  • Watchdogs for the failures that fail silently
  • Live internal status page for the whole flow
  • One-click re-send and re-run tools

Migration Off No-Code

Move off fragile per-task vendors onto n8n and infrastructure you own, phased, with no gap in service.

Click to learn more ⌄

Perfect for: Firms whose ops sit on Make, Zapier, Softr or spreadsheets and cannot safely be touched

  • Scenario-by-scenario port, nothing big-bang
  • Spreadsheets and Sheets into a real database
  • Runs on your servers, your data, your code
  • Old and new run side by side until proven

Reality-capture firm runs its whole order flow on owned infrastructure

US reality-capture & 3D-scanning field-service firm

The problem

Around 45 fragile no-code scenarios fired against a database, alongside separate forms and a client portal, with no visibility when a step failed. Orders could drop silently, and the entire stack depended on one vendor.

What we built

We migrated the operational database off Google Sheets into Airtable as the single source of truth, then rebuilt order-to-cash on self-hosted n8n the firm owns: intake, technician dispatch, scheduling, auto-generated work-order PDFs, delivery, accounting sync. We added a staff, technician and client portal with magic-link login and an audit trail, plus a live status page and missing-notification safety nets.

Photography studio stops losing bookings to a stack that killed itself

US 3D & real-estate photography studio

The problem

A crash-prone automation stack that silently deactivated itself on errors. Booking emails were parsed by hand, and orders and notifications were occasionally lost outright.

What we built

We applied the same order-flow playbook, which is the point: it repeats. AI-assisted email intake scores incoming bookings before creating records, order and technician notifications fire automatically, accounting is billed per order, and a live status page carries one-click re-send tools. A watchdog catches silent failures on the critical steps.

We run a real service business on the exact same playbook

An online tutoring service we founded and operate

The problem

Running a genuine business with enrolment, scheduling, invoicing, payments and teacher payouts, without an admin team and without drowning in the work.

What we built

The business runs on automation we built: native sign-up forms, automatic teacher matching, scheduling, invoicing and receipts, monthly teacher-payout calculation with PDF statements, and a live ops dashboard showing every automation's status. Paid acquisition with conversion tracking sits on the same stack.

How we work

Fixed scope. No lock-in. Four steps.

We find the low-hanging fruit first, so something is paying for itself before the build finishes.

01

Fit call

20 minutes to see whether your ops are a fit. No pitch, and we will say so if they are not.

02

Audit

We map what is leaking and what to automate first, with expected payback. You keep the document either way.

03

Build

Fixed scope, fixed price, shipped in phases on infrastructure you own. Nothing switched off until its replacement is proven.

04

Run

Optional monitoring, fixes and improvements as the business changes shape.

You own everything we build: code, data, and the servers it runs on.

Integrations

Connects to the tools you already run.

We meet your stack where it is. Nothing here needs replacing to get started.

We build and run automation systems for service businesses, including our own.

We have rebuilt fragile no-code stacks into monitored, owned infrastructure for US service firms, and we operate a fully automated tutoring business on the same playbook. When we say a system holds up in production, it is because we are the ones carrying the pager for one.

n8n + Airtable + self-hosted, end to end. The systems keep running whether or not anyone is watching. That is the point.

FAQ

Frequently asked questions

Everything worth knowing before the call, including what it costs.

What exactly do you build?

Back-office systems for service firms: the path a job takes from enquiry to paid invoice. Intake, dispatch, scheduling, work orders, client comms, invoicing and the sync into your accounts.

In practice that is n8n for the automation, Airtable or Postgres for the data, and a Next.js portal when your staff or customers need somewhere to log in.

Who is this for?

Service firms doing real volume where a job crosses several tools and several people before it gets paid. Field services, inspections, scanning and capture, photography, trades, studios, agencies, tutoring.

It is a poor fit if you have fewer than a handful of jobs a month, or if your work is genuinely bespoke every time. Automation pays back on repetition.

What makes you different from other automation agencies?

Three things. We run a service business on this stack ourselves, so we have felt the failure modes. We build on infrastructure you own rather than renting you a per-task vendor. And we instrument the failures, which is the part that usually gets skipped.

Most automation work looks fine on day one. The question is whether you hear about a break before your client does.

What does it cost?

An Automation Audit starts at $500 and is yours to keep whether or not we continue. A fixed-scope Ops System Build typically lands between $5,000 and $15,000 depending on how many flows and integrations are in play.

Run and Maintain is a monthly retainer, priced against the size of what is live. Every build is scoped to the firm, so the fit call is where a real number comes from.

Why do you insist on infrastructure we own?

Because per-task pricing punishes you exactly when you grow, and because a vendor who owns your ops owns your leverage. Your code, your data and the server it runs on stay yours.

If you ever want to stop working with us, the system keeps running and someone else can pick it up.

How long does a build take?

An audit is usually one to two weeks. A first system build is commonly four to eight weeks depending on scope, and we ship in phases so value lands before the end.

Migrations off an existing stack run old and new side by side until the new path is proven, so there is no day where your operations stop.

Will this break what we already have?

No, and that constraint drives the sequencing. Nothing gets switched off until its replacement has been running against real data. Cutovers are phased, reversible and scheduled with you.

For one client we ported a live stack scenario by scenario with no client-facing data loss.

What happens when an automation fails?

You get told. Every build ships with failure alerting on the money-critical steps and watchdogs on the ones that fail quietly, plus a live status page for the whole flow.

Silent failure is the actual risk in this work. A workflow that stopped three weeks ago and nobody noticed is worse than no workflow at all.

Do we need anyone technical on our side?

No. You need one person who knows how the business actually runs, including the exceptions and the awkward cases. That knowledge is what the system encodes.

Day-to-day the system is used through forms, a portal and your existing tools. Nobody on your team edits a workflow.

Do the automations need maintenance?

Some. APIs change, vendors deprecate endpoints, and your process evolves. Most months nothing needs doing; occasionally something does.

You can take that on yourself, since you own everything, or put it on a Run and Maintain retainer.

Is our data secure?

It sits on infrastructure you own, with credentials held in environment secrets rather than pasted into a vendor UI. We do not copy client data out to third-party tools that are not already part of your stack.

Access to your systems is scoped, and handed over in full at the end of an engagement.

How do we start?

Book a 20-minute fit call. No pitch: we ask where the admin is leaking, and tell you honestly whether this is worth doing.

If it is, the next step is a paid audit that maps what to automate first. You keep that document either way.
